Refund & Rescheduling Policy:

Welcome to World Brain Center Hospital. This Refund & Rescheduling Policy explains the general terms applicable to appointment cancellations, rescheduling requests and refunds for eligible payments made through www.wbcindia.in or through other appointment-related channels of the hospital. By requesting or booking an appointment, you acknowledge and agree to the terms outlined below.
  • Appointment Booking: Appointment requests submitted through the Website, telephone, WhatsApp or other official communication channels are subject to confirmation and availability. Submission of an appointment request does not by itself guarantee consultation, admission, treatment, availability of a particular doctor or a specific appointment time.
  • Appointment Cancellation: If you are unable to attend a scheduled appointment, please inform World Brain Center Hospital as early as possible. Cancellation requests should preferably be communicated through the official contact details provided by the hospital.
  • Rescheduling of Appointments: Patients may request to reschedule an appointment by contacting the hospital in advance. Rescheduling is subject to doctor availability, hospital schedules and other operational requirements. The hospital will make reasonable efforts to provide an alternative appointment date or time but cannot guarantee availability of the same doctor or preferred time slot.
  • Advance Notice for Rescheduling: Patients are requested to provide reasonable advance notice whenever they need to change or reschedule an appointment. Requests made at short notice may be subject to availability and may not always be accommodated.
  • Refund Eligibility: Where an appointment fee or other eligible payment has been collected in advance, refund eligibility will depend on the nature of the payment, applicable hospital policy, cancellation circumstances and the payment method used. Not every payment made to the hospital may be eligible for a refund.
  • Refund Processing: Where a refund is approved, the refund will generally be processed through the original payment method or by another appropriate method determined by World Brain Center Hospital. The time taken for the refunded amount to appear in the patient's account may depend on the relevant bank, payment gateway or financial institution.
  • Non-Refundable Charges: Certain administrative, consultation, diagnostic, registration, service or other charges may be non-refundable where applicable. Patients may contact the hospital before making a payment if they require clarification regarding the applicable charges or refund conditions.
  • Doctor or Hospital-Initiated Changes: In the event that the hospital needs to cancel, postpone or reschedule an appointment due to doctor availability, medical emergency, operational requirements or other circumstances beyond reasonable control, the hospital may offer an alternative appointment or, where applicable, process an eligible refund in accordance with the applicable payment and refund terms.
  • Delay in Consultation: Healthcare services may occasionally be delayed because of medical emergencies, urgent patient requirements, clinical procedures or other circumstances. Appointment times are therefore indicative and reasonable waiting time may be required. A delay in consultation does not automatically qualify a payment for a refund.
  • No-Show Appointments: If a patient does not attend a confirmed appointment and does not provide prior notice, the appointment may be treated as a no-show. Any refund or rescheduling in such circumstances will be subject to the applicable hospital policy and appointment availability.
  • Late Arrival: Patients are requested to arrive on time for scheduled appointments. Late arrival may result in reduced consultation time, rescheduling or the need to book another available appointment, depending on the doctor's schedule and clinical circumstances.
  • Emergency Medical Situations: This policy does not replace or restrict access to emergency medical care. Patients experiencing a medical or psychiatric emergency should seek immediate medical assistance rather than waiting for an appointment cancellation, refund or rescheduling response.
  • Third-Party Payment Gateways: Where payments are processed through a third-party payment gateway, applicable gateway terms may also apply. World Brain Center Hospital cannot be held responsible for delays caused solely by banks, payment gateways or other financial institutions after an approved refund has been initiated.
  • Duplicate or Incorrect Payments: If you believe that a payment has been duplicated, charged incorrectly or processed in error, please contact the hospital as soon as possible with the relevant transaction details so that the payment can be reviewed.
  • Refund Request: Refund requests should include relevant information such as the patient's name, appointment details, payment date and transaction reference, where available. The hospital may request additional information to verify and process the request.
  • Verification of Refund Requests: World Brain Center Hospital reserves the right to verify payment information and appointment records before approving any refund or rescheduling request. Refunds will only be processed where the request meets the applicable eligibility requirements.
  • Changes to This Policy: World Brain Center Hospital may update or modify this Refund & Rescheduling Policy from time to time to reflect changes in healthcare services, payment processes, operational requirements or applicable laws. The updated version will be published on the Website and will become effective from the date of publication.
  • Privacy and Payment Information: Information submitted in connection with an appointment, cancellation, rescheduling or refund request will be handled in accordance with our Privacy Policy and applicable laws. Patients should avoid sharing unnecessary sensitive information through unsecured communication channels.
  • Policy Interpretation: This policy provides general guidelines for appointment refunds and rescheduling. Specific refund eligibility may depend on the nature of the service, payment made, appointment status and circumstances of the request.
